PRIVACY NOTICE
How we use personal information
Last updated: 7 October 2026
Who is responsible
Truemark Jewellers uses this system to manage enquiries and confirmed jewellery commissions. Truemark Jewellers can be contacted at 2 Phelps Parade, Calne, SN11 0HA.
Information we record
We may record a customer’s name, contact number, funeral director reference, commissioning funeral director, item description, quotation and payment progress, expected completion date, design image and notes needed to manage the enquiry or commission. The system also records authorised-user activity for security and accountability.
Why we use it
We use this information to respond to enquiries, prepare quotations, design and manufacture commissioned items, communicate progress, collect and account for payments, resolve queries, keep appropriate business records and protect the security of the service. The applicable lawful bases may include taking steps at a person’s request before a contract, performance of a contract, legal obligations and legitimate interests in operating and securing the service.
Who can see it
Authorised Truemark staff and workers can access records needed for their work. An authorised funeral director account can access only records assigned to that organisation. Hosting, storage and other service providers may process information under contract. We do not sell customer information.
How long we keep it
We keep enquiry information only while it is needed for follow-up and an appropriate short review period. Confirmed commission and financial records may be retained longer where needed for contracts, accounting, tax, warranty or dispute purposes. Records are reviewed and erased or anonymised when identification is no longer necessary.
Your rights
Depending on the circumstances, individuals may request access, correction, erasure, restriction, portability or object to particular uses of their personal information. Requests should be made to Truemark Jewellers using the shop’s published contact details. Identity may need to be verified before information is disclosed.
Security and complaints
We use restricted accounts, encrypted connections, password hashing, access logging and role-based controls. If you have concerns, contact Truemark Jewellers first. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.
